AI Automation Services for Small Businesses and Large Teams
Workflow automation is software that does the hand-offs between people and systems for you. When something happens, such as a form arriving, an order being placed or a contract being signed, the right next steps run on their own: a record is created, a message goes out, a task lands with the right person, and nobody types the same thing twice.
What workflow automation is
AI adds a few jobs that need some reading or writing: sorting incoming requests, pulling details out of an email or a PDF, drafting a reply for a person to approve. It is useful for those parts. It is not a reason to automate something that should not be automated.
We split the work into two kinds, because they carry different risks.
Rules-based automations do exactly what they are told. If this happens, do that. They are predictable, cheap to run and easy to check.
AI steps, with a person in the loop, handle language. They are more flexible and less predictable, so we give them limits, test them against real examples and keep a person on anything that matters.
Automation & AI in about a minute
Who it is for, from small shops to large teams
- A small business where the owner answers the phone, sends the quotes and chases the invoices, and some of that should run itself.
- A growing company where orders, leads or tickets arrive from several places and someone copies them into the right system every morning.
- An operations or finance team at a larger company with approvals, onboarding or reporting that still runs on email and spreadsheets.
- An IT team that wants automation done properly inside Microsoft 365, Google Workspace or its own cloud, with logging and someone accountable for it.
If you can name a task someone does over and over and dislikes, you are who we mean.
What we automate
Leads and sales follow-up
A form, a call or a chat becomes a record in your CRM, the right person is told, and the follow-up goes out on time. Leads from three places end up in one list. A lead who has not replied in three days gets one polite nudge, and the nudges stop when they answer.
Orders, quotes and invoices
An accepted quote becomes an invoice and a job. A paid order updates the stock count, the shipping label and the accounting system. Payment reminders go out on a schedule you approve.
Approvals and internal requests
Purchase requests, time off, new-customer checks, content sign-off. The request goes to the right person with everything they need, they approve or decline from their phone or Teams, and the result is recorded where it belongs.
Documents and data entry
Details pulled from emails, PDFs and forms into the system that needs them, with AI reading the messy parts and a person checking anything it is unsure about. Reports that used to take a morning to assemble arrive on their own each week.
Customer communication for local businesses
Missed-call text back, online booking with reminders, and review requests after a job, set up in your words. See the missed-call text back and booking and scheduling pages for the details and the limits.
AI assistants and agents
Assistants that answer from your own documents, and agents that can take a few careful actions in your systems. These are bigger builds, so they have their own page: AI agent development and integration. For a phone assistant for a small business, see the AI receptionist page.
Tools we build with
We use the tool that fits the job and the team that will own it:
- Power Automate and Power Platform, when your company runs on Microsoft 365
- Zapier and Make for small, simple flows a business owner can read
- n8n when you want the automation hosted on your own server
- Code on Azure, Google Cloud or AWS when a workflow is busy, handles sensitive data or needs to be tested like any other software
- Your CRM's own automation, such as HubSpot or Salesforce, when it can do the job without another tool
Our team has built automations and AI agents for large enterprise teams on Microsoft's platform, with the governance and data-loss rules big companies need, as well as small flows for local businesses. The habits are the same at both sizes.
How we work
- One conversation about where the time goes. We ask which hand-offs are slow, which mistakes repeat and which tasks people dread. That conversation matters more than any tool.
- A short, ranked list. We write down the two or three automations worth doing first, what each needs from you and what we will measure. Often the list is shorter than people expect.
- Build the first one. We set it up, test it with real examples and start it in a limited way, often for one person or one team first.
- Check it with you. After two weeks we look at what actually happened: runs, errors, time spent, anything a person had to fix. We adjust what needs it.
- Add the next one. Only after the first is working. Each automation comes with a note in plain English saying what runs, where it runs and how to switch it off.
What we will not do
- We will not let AI make promises, quote prices or give advice on your behalf without a rule you wrote.
- We will not publish or send AI-written content to customers without a person reading it, unless you decide otherwise for a specific low-risk message.
- We will not set up a chatbot that pretends to be a person.
- We will not claim that AI makes your business faster or cheaper. Sometimes it takes busywork off someone's plate. We measure it and tell you.
- We will not paste your customers' information into a general chat tool.
Guardrails and data
Every automation we build follows the same rules:
- You can see what is running, and you can turn it off.
- Data lives in tools and accounts in your name. We tell you where.
- Anything that messages a customer uses wording you approved.
- Texting follows carrier and legal rules, including business registration and opt-out.
- When something fails, a named person gets a message. It does not fail quietly.
- Larger companies get run history and logging their IT team can audit.
- If you stop working with KORB, the setup stays with you.
Examples of what we might connect
These show the shape of the work. They are illustrations, not client results.
- A website form creates a CRM record, sends the customer a confirmation and texts the owner the request and phone number.
- A signed contract in an e-signature tool creates the customer in the accounting system, opens a project and schedules the kickoff email.
- A supplier invoice arrives by email; the details are pulled out, matched to the purchase order and sent to a manager to approve in Teams.
- A booked appointment blocks the calendar, sends reminders two days and two hours before, and asks for a review the day after.
- A support email is sorted by topic, a draft reply is written from the help documents, and a person sends it or edits it.
Proof
We run our own business on the same ideas. KORB's operations app tracks clients, projects and money, and uses AI to draft and sort, never to send: nothing reaches a client without a person's click. The AI agents we build log the questions they could not answer, so a person can fill the gap.
What it costs
One workflow and a set of three connected workflows have standard prices in the Pricing section of this page, with monitoring as a small monthly fee. Our Growth plan (see the plans) includes missed-call text back, review requests, booking and lead follow-up for small businesses. Larger projects across teams or systems start with discovery and are priced in an SOW, with a fixed price before any build.
Where we work
KORB is a studio in Logan, Utah, working with small businesses across Cache Valley and Northern Utah and with companies of every size anywhere in the US over video and phone.

Pricing
Every price we post is on one page. See all pricing.
One workflow
One automation built and tested, for example form to CRM to follow-up text and email.
$750
Three workflows
Up to three connected automations, with a map of how they fit together.
$1,800
Changes and custom work
Or a fixed quote when the scope is clear.
$95/hr
Workflow monitoring
We watch the automations and fix breaks.
$99/mo
These are starting prices for standard builds. Every business is different, so before any work starts we write a statement of work (SOW) with your exact scope, timeline and price, which can come in lower or higher than these.
Questions people ask
For a small service business it is usually missed-call text back or a form that lands in your CRM and texts you. For a larger team it is usually the hand-off people complain about most, such as approvals or copying orders into the accounting system. We pick one, build it, and check it with you before adding the next.
Usually no. We connect what you have, whether that is a calendar and a spreadsheet or Microsoft 365, Salesforce and an ERP. We suggest a new tool only when what you have cannot do the job.
Whatever fits the job and your team. Power Automate when you live on Microsoft 365, Zapier or Make for small, simple flows, n8n when you want to host it yourself, and written code on Azure, Google Cloud or AWS when a workflow is busy, sensitive or needs to be tested like software.
Not unless you decide so for a specific, low-risk case. By default AI drafts and sorts, and a person approves. Anything that speaks for you in a way that matters, like a price or a promise, has a person in the path.
We tell you which services touch it, what they store and how to delete it. We do not paste customer information into general chat tools, accounts stay in your name, and for larger companies the workflows run inside your own cloud tenant under your IT team's rules.
A single workflow usually takes one to two weeks, and a set of connected workflows two to four. Larger projects across departments are planned in phases, each with its own date in the statement of work (SOW).
One workflow and a set of three have standard prices in the Pricing section of this page, and monitoring is a small monthly fee. Larger projects are priced in an SOW after a discovery call, so you know the fixed price before we start. Small-business automations like missed-call text back are also part of our Growth plan (see [pricing](/pricing)).
No. We tell you where we think it helps and how we will measure it, and after a few weeks we look at the real numbers together.
