Online Booking and Scheduling Setup for Small Businesses
Online booking lets a customer pick a time on your website or from a link, without a phone call or a string of messages. They see the times you have open, choose one, give their details, and receive a confirmation. You get the appointment on your calendar, and a reminder goes out before the day.
Confirmation, sent at onceYou are booked for Thursday at 2:00 PM. See you then.
Reminder, the day beforeYour visit is tomorrow at 2:00 PM. Need another time? Tap to reschedule.
What it is
Scheduling automation is everything around that: the confirmation, the reminders, the reschedule link, the follow-up afterward and the review request. It takes the back-and-forth out of filling your calendar.
Booking & Scheduling in about a minute
Who it is for
- Appointment-based businesses: salons, barbers, groomers, massage, studios, trainers, tutors and clinics that do not need medical-grade systems.
- Trades and services that book estimates, site visits or consultations.
- Coaches and consultants who book calls.
- Anyone who answers "when are you free?" more than a few times a week.
It fits less well where every job is different and priced by hand. In those cases booking becomes a request form, and we say so.
What is included
A booking page. On your website and as a link you can share on your Business Profile, in texts and on social accounts.
Services and lengths. Each service with its own duration, buffer time and, if you like, price or deposit.
Your real availability. Working hours, days off, travel time between jobs and a limit on how soon someone can book. Connected to your calendar, so a conflict never gets booked.
Confirmation. Sent immediately by email, text or both.
Reminders. A common pattern is two days before and a few hours before, with a link to reschedule. You choose.
Rescheduling and cancelling. Customers do it themselves, up to the cutoff you set.
Deposits and payments. Where the tool and your business call for it.
Follow-up. A thank-you after the appointment and, if you want, a review request. See review generation.
Notifications for you. A text or email for every new booking, and a daily summary if you like.
Phone fallback. If someone calls, you can still book them in, and the same reminders go out.
How we set it up
1. Map how you work. Your services, how long each takes, where you work, and what usually goes wrong: late arrivals, no-shows, double bookings.
2. Choose the tool. We compare two or three that fit your size and budget. We tell you what each costs a month and what happens to your data if you leave.
3. Build it. Services, hours, buffers, forms, payment and messages. We write the messages in your voice.
4. Connect it. Your calendar, your website, your Business Profile link and, if you want, your invoicing or CRM.
5. Test it. We book, reschedule and cancel as a customer on a phone, and check everything lands where it should.
6. Launch and watch. The first month, we look at bookings, no-shows, and where people drop out of the form, and fix what we see.
Why reminders and deposits matter
No-shows cost a service business real money, because the slot is gone. Vendors report that automatic reminders cut no-shows by about 20% to 40%, though those are vendor numbers and we treat them as a rough guide. The same sources agree on what helps most: a confirmation at once, reminders at sensible times, an easy way to reschedule, and for higher-value appointments a deposit.
Online booking by itself does not reduce no-shows, and can raise them slightly because it is so easy to click. The reminders and rules do the work. We set both up.
Rules worth deciding up front
Small decisions you make before launch save arguments later. We help you choose.
- Lead time. How soon can someone book? Same day, or at least 24 hours?
- Buffers. Time between appointments for travel, cleanup or a coffee.
- Cutoffs. How late can a customer cancel or move an appointment without a fee?
- Late arrivals. Do you hold the slot for ten minutes, or give it away?
- Deposits. For which services, and what percentage?
- Limits. The most appointments in a day, or per week.
- Who is notified. You, a teammate, or both.
Write the answers into the booking page so customers see the rules before they book. A clear policy removes most of the awkward moments.
What a good booking page shows
A visitor should not need a tutorial. The page lists the services in plain words with a time and price or price range, shows open times for the next two weeks, asks for the minimum details, and says what happens next. It works on a phone with one thumb. It has your business name, logo and a phone number for anyone who prefers to call.
Limits and honest notes
- Not everyone wants to book online. Keep your phone number visible.
- A booking tool is another place for customer data. We tell you which tool holds it and what it keeps.
- The system is only as good as your calendar. If you forget to block a vacation, it will book you for it.
- Texting reminders need consent and a registered number. We handle the setup, as on our missed-call text back page.
- We have no client booking numbers to quote yet, and will not invent them.
Under the hood
Calendar sync. Two-way sync with Google Calendar or Outlook means a booking creates an event on your calendar and any event you add blocks that time online. Syncs run every few minutes, so we set a lead time that avoids last-minute double bookings.
Time zones. The booking page shows times in the customer's zone and stores them in yours. Utah is on Mountain Time with daylight saving, which is a common cause of off-by-an-hour errors when a tool is set up wrong. We test across a daylight saving change.
Webhooks and automations. When a booking is made, changed or canceled, the tool can send a webhook (an automatic message to another system) that updates your CRM, texts the team, or starts a reminder sequence.
Reminder timing. We use scheduled sends relative to the appointment start: for example 48 hours, 24 hours and 2 hours before. Each includes the address or link and a reschedule button.
Payments. Deposits go through a payment processor such as Stripe or Square, so card details never touch your site. Refund and cancellation rules display before payment.
What changes for you after launch
The first week feels different. Bookings appear on your phone without a call. You stop answering "do you have anything Thursday?" and start looking at a calendar that fills by itself. Some customers book at midnight, which you will notice. A few will book something you did not expect, like a longer service than they needed, and you will adjust the descriptions.
We check in after two weeks. We look at how many bookings came online, how many came by phone, how many people started the form and quit, and how many no-shows happened. Then we change the form, the times or the reminders based on what we see. The aim is a booking page that fits your week, not one you work around.
What it costs
Booking and scheduling is part of our Growth plan (see the plans), along with missed-call text back, automated review requests, and lead follow-up. Every plan includes a free launch site. Subscriptions for the booking tool, if your needs go beyond a basic free option, are paid to the tool and shown to you before you commit. A custom booking flow with special rules is scoped separately in a statement of work (SOW).
Timeline
A basic booking page with reminders takes one to two weeks. A setup with deposits, several staff members or a custom form takes two to four. Most of the time goes to deciding your rules, not to building.
Where we work
KORB is a studio based in Logan, Utah. We set up booking for businesses across Cache Valley and Utah and anywhere in the US, working over a screen share and keeping the accounts in your name.
Next step
Ask for a free website review and mention booking. We will look at how customers reach you today and whether a booking page would help, or whether a clearer phone button would do more.
Pricing
Every price we post is on one page. See all pricing.
One workflow
One automation built and tested, for example form to CRM to follow-up text and email.
$750
Booking and scheduling is included in the Growth plan ($449/mo) and the Scale plan ($999/mo). A stand-alone setup is priced as a workflow.
These are starting prices for standard builds. Every business is different, so before any work starts we write a statement of work (SOW) with your exact scope, timeline and price, which can come in lower or higher than these.
Questions people ask
No. Many customers still call, and you can offer both. Booking handles the people who would rather click at 9 p.m.
One that fits how you work. Google Calendar based tools suit solo operators. Other tools suit staff schedules, classes, deposits or services with different lengths. We pick with you and explain the cost before you commit.
Yes, where the tool supports it. Deposits and clear cancellation rules reduce no-shows more than reminders alone.
Usually yes. We sync it so a booking appears on your phone and blocks the time, and your own events keep customers from booking over them.
Vendors report reductions between roughly 20% and 40%, though those are vendor figures. They help most when combined with easy rescheduling and, for bigger appointments, a deposit. We measure yours after launch.
Then booking can be a request for a visit or a call rather than a final slot. We set the form to fit the way you actually sell.
Booking and scheduling is included in the Growth plan (see the [plans](/pricing)). Tool subscriptions, where needed, are billed by the tool and shown to you first. Stand-alone setup is priced as a workflow, in the Pricing section of this page.
