Missed-Call Text Back for Small Businesses

Think about the last time you called a plumber, a groomer, or a heating company and got voicemail. You probably didn't leave a message. You tried the next name on the list.

Example messages. Yours use your words.

The problem: a missed call is a lost call

Your customers do the same thing. If you run a service business, there are hours every day when you cannot pick up. You are under a sink, on a ladder, with a client in the chair, driving, or eating lunch. The phone rings, nobody answers, and a person with a problem and money to spend moves on to someone who does.

Missed-call text back closes that gap. When a call goes unanswered, the caller gets a text from your business within seconds. It says you saw their call and asks what they need. They reply while they are still holding the phone, and you answer when your hands are free.

Missed-Call Text Back in about a minute

What it is, in one paragraph

Missed-call text back is a small automation attached to your business phone number. It watches for calls that ring out or go to voicemail. When one does, it sends a pre-written text to that caller. If they reply, the message lands in your phone, so you can pick up the conversation yourself. There is no robot pretending to be you. It starts a conversation and you finish it.

Who it suits

This works best for businesses where a single call can be worth a few hundred dollars or more and where the owner is often away from the phone:

  • Trades such as electricians, plumbers, HVAC, drywall, handymen, and roofers.
  • Salons, barbers, groomers, and massage therapists with a client in the chair.
  • Cleaning, lawn, snow removal, and landscaping crews.
  • Auto and detailing shops.
  • Anyone who answers their own phone and cannot always do it.

It suits you less if your customers rarely phone (they book online) or if most of your calls are emergencies where a text cannot replace a person.

How we set it up

1. Look at your call situation. We ask how calls reach you today: a cell, a business line, Google Voice, or a VoIP service. We ask when you usually miss them. If you have a call log, we look at a few weeks of it.

2. Pick the number and the setup. Text back needs a number that can send and receive texts. If yours can, we attach the automation to it. If not, we set up a texting line that rings through to your phone and keep your public number the same.

3. Register for business texting. In the US, carriers require businesses to register before they send automated texts. Skip this step and your messages get filtered with no warning. We handle the registration, and it is the part of setup that takes the longest.

4. Write the text with you. This is the step that matters most. We write two or three versions in your own voice and you choose. A sample for a drywall contractor might read: "Hi, this is Dale from Dale's Drywall. Sorry I missed you, I'm on a job. What do you need done? Reply here and I'll get back to you today." The wording stays short, names your business, and ends with a question the caller can answer in one line. It also carries an opt-out line.

5. Set the rules. You decide the hours it runs, whether it skips numbers already in your contacts (family, employees), and what happens when someone replies. Replies can forward to your phone, to an email, or to a teammate.

6. Test it. We call the number from our own phone and from yours, check timing, and confirm replies reach you. You see the whole thing working before it goes live.

7. Check in after two weeks. We look at what came back: how many texts went out, how many replied, and whether the wording needs a tweak.

What you get

  • The automation connected to your existing business number.
  • Your business texting registration filed and followed up.
  • Two or three drafts of the text in your voice, with the one you choose live.
  • Rules for hours, exclusions, and where replies land.
  • A written one-page summary of how it works, so you know what is running.
  • A review after two weeks of real calls.

What it takes from you

About an hour in total. You give us the phone number and access to your phone provider, you pick the wording, and you reply to customers when they answer. That reply is the part nobody can do for you. A text back that sits unanswered for two days is worse than voicemail.

The technical side, in plain terms

How a missed call is detected. Your phone provider reports each call's outcome: answered, rang out, or sent to voicemail. A webhook (a message the provider sends to our system the moment something happens) tells the automation a call was missed. We usually add a short delay of a few seconds so a call that is answered late is not counted as missed.

Which number sends the text. A text has to come from a number built to carry texts. Three kinds exist. A local 10-digit number is the most common for small businesses. A toll-free number has its own verification. A short code is a five or six digit number, costly and rarely worth it here. If your main line is a landline, we port or forward it so texting works, or use a local texting number that your customers learn from the text itself.

A2P 10DLC registration. A2P means application-to-person, texts sent by software. 10DLC means 10-digit long code, an ordinary local number. US carriers require businesses to register the brand (your business details) and a campaign (what you send and why) with The Campaign Registry before they deliver this kind of text reliably. Approval often takes days to a couple of weeks. Unregistered numbers get filtered, so we file the registration first and test after approval.

The flow. Missed call, short delay, check for exclusions (your own staff, numbers you listed), send the text, log the call, forward any reply to your phone. We add a rule so one caller does not get the same text more than once in a set window, such as 24 hours.

Opt-out handling. Replies such as STOP are honored automatically and the number is blocked from future texts. That is a carrier and legal requirement, and we test it before launch.

What it does not do

We would rather tell you now than have you learn it later.

  • It does not stop calls from being missed. It recovers some of them.
  • It cannot text a landline.
  • It will not reach every caller. Some people never reply to texts.
  • It is a poor fit for emergencies. If you handle urgent jobs, we word the text to say how to reach you right away.
  • It does not guarantee more jobs. We have no client numbers to quote yet, so we will not make up a percentage. What we can say is that a lead who hears from you in seconds has a better chance of staying than one who hears nothing.

Texting rules, plainly

Business texting in the US has rules. The short version: the person has to have contacted you first (they did, by calling), you register your number, you include a way to opt out, and you honor it. We build those into the setup and keep a record. We are not lawyers, and the rules change. If your business has special requirements, such as health or financial services, we point you to the right place before launch.

What it costs

Missed-call text back is part of our Growth plan (see the plans), alongside automated review requests, a booking and scheduling system, automated lead follow-up, and website edits. All plans include a free launch site. If you want only the text back without the rest, the standard price is in the Pricing section of this page, and the statement of work (SOW) confirms it for your phone setup. Texting carrier fees, if any, are passed through at cost and shown to you first.

Where we work

KORB is based in Logan, Utah. We work with businesses across Cache Valley, Northern Utah, and remotely anywhere in the US, since the setup happens over a screen and a phone call. If you are local and prefer to sit down together, we can do that.

Timeline

Plan on one to two weeks. Your texting registration approval is the main wait. The writing, setup, and testing take a few days of work spread across that time.

Ask for a free website review and mention missed-call text back. We will look at how a customer reaches you today and tell you whether this is worth setting up, or whether something else comes first.

Pricing

Every price we post is on one page. See all pricing.

  • Missed-Call Text-Back

Every missed call gets a text within seconds, with a link to book or reply. Number set up, message written and tested.

Included in the Growth and Scale plans.

    $99/mo + $149 setup

These are starting prices for standard builds. Every business is different, so before any work starts we write a statement of work (SOW) with your exact scope, timeline and price, which can come in lower or higher than these.

Questions people ask

A short text from your business number a few seconds after the missed call. It uses your words and tells them you saw the call and asks what they need. We write it with you, and you approve it before it goes live.

No. It works on the number customers already have for you. If that number is a mobile line, a carrier or Google Voice setup may need a small change, and we check this on the first call before promising anything.

The person called you first, which is why this is the safest kind of business text. We still include an opt-out line, keep records, and register your number for business texting, because US carriers filter unregistered numbers. Rules change, so we confirm the current ones before launch.

Text back is a recovery tool and a poor fit for emergencies. If you handle urgent calls, we can word the text to give an after-hours number, or pair it with a call forward.

A landline can't receive a text. Those callers are the gap this service doesn't cover, and we tell you how big that gap looks in your call log before you start.

Missed-call text-back is included in our Growth plan (see the [plans](/pricing)), along with automated review requests, booking, and lead follow-up. We can also set it up on its own; the standard price is in the Pricing section of this page.

Usually one to two weeks, and most of that is waiting on your business texting registration to be approved.
